Expense Management – Business Travel Process Improvement/ Change Management

The Challenge
BottomLine Group’s client was a major Canadian public entity, with one of the largest, most comprehensive and complex managed travel programs in the world. Their program saw over $1.2 billion in travel spending with over 120,000 travellers. BottomLine Group was engaged for its expertise in travel management and proven capability in driving savings through leveraging on-line procurement programs.
To enhance its efficiencies, the client explored the potential savings offered by a centralized on-line procurement system for travel and expense management. Across the organization, 26% of travel procurement spend was being transacted through their online travel program with a potential for 70%+. The challenge set forth was to develop an effective strategy to significantly improve the savings generated by the program and enhance user satisfaction.
The Approach
BottomLine Group led a cross-functional team to develop a roadmap for moving the travel procurement experience online. The roadmap included securing all content via direct and traditional distribution models, driving procurement behavior online through new consumer oriented interfaces and proven behaviour change practices, as well as developing a new merchandising revenue model with suppliers.
The Result: $100M in Potential Savings Driven with On-line Program
The client was provided with a comprehensive “Road Map” to get to 70% adoption and $100M in Program Savings. The plan also incorporated tangible opportunities across areas such as Tools, Change Management, Scorecards and Pricing.
